How to Fill the Passport Application Form Correctly

Filling out your passport application form correctly is the first and most important step toward securing a smooth and quick passport issuance. Any errors or omissions can result in unnecessary delays, rejections, or rescheduling. Whether you’re applying for a new passport, renewal, or Tatkal, understanding how to complete each section of the form with accuracy is essential.

This guide provides detailed, step-by-step instructions to ensure your application is complete and compliant with the latest government norms.

Step 1: Visit the Official Passport Seva Portal

Go to the official website: https://passportindia.gov.in

  • Register as a new user or log in with your existing credentials.

  • Once logged in, navigate to “Apply for Fresh Passport / Re-issue of Passport”.

  • Choose whether you want to fill the form online or download the PDF form to upload later.

Note: Filling online is faster and reduces errors.

Step 2: Select the Application Type

You’ll need to select one of the following options:

  • Fresh Passport – If you’ve never held a passport before.

  • Re-issue of Passport – For expired/lost/stolen or nearing-expiry passports.

Then choose the scheme:

  • Normal – Standard processing time.

  • Tatkal – Urgent issuance, higher fee, limited eligibility.

Make sure your selection matches your travel timeline.

Step 3: Enter Applicant Details

Fill out the Applicant Details section with care:

  • Full Name (as per documents)

  • Date of Birth

  • Place of Birth (city, district, state, country)

  • Gender

  • Marital Status

  • Citizenship by birth/naturalization/registration

⚠️ Avoid spelling errors in names or places. Double-check with your Aadhaar or PAN card.

Step 4: Provide Family Details

  • Father’s Name

  • Mother’s Name

  • Legal Guardian’s Name (if applicable)

  • Spouse’s Name (if married)

All names must match supporting documents exactly. Don’t abbreviate unless your documents do.

Step 5: Fill Present and Permanent Address

This is a critical section, especially for police verification.

  • House No./Street/Locality

  • City/District/State/PIN Code

  • Mobile number and Email ID

  • Indicate if permanent address is same as present address

Incorrect addresses lead to verification failure, so ensure every detail is updated and proof is available.

Step 6: Mention Emergency Contact

Provide the name, address, and phone number of a relative or friend who can be contacted in emergencies. This is useful while traveling and during processing.

Step 7: Employment Type and Government Service

Choose your employment type:

  • Government / PSU / Private / Student / Homemaker / Retired / Self-employed

  • If employed in Government, enter department name and address

  • You must attach Annexure B and NOC if in active government service

Step 8: Educational Qualification and Non-ECR Eligibility

Educational qualification determines your ECR (Emigration Check Required) status.

  • If you’ve passed 10th standard and above, you likely fall under Non-ECR.

  • Tick Yes for Non-ECR, and upload education proof, if asked.

Step 9: Provide Details of Previous Passport (if any)

Only applicable for re-issue cases:

  • Passport number

  • Date and place of issue

  • File number

  • Reason for re-issue (expired, lost, change of name/address, etc.)

Step 10: Choose the Passport Booklet Type

  • 36 pages (standard)

  • 60 pages (for frequent travelers)

Pick the one based on your travel frequency. Fee changes accordingly.

Step 11: Upload Required Documents

You will be prompted to upload self-attested scanned copies of documents like:

  • Aadhaar card

  • PAN card

  • Voter ID

  • Utility bill (for address proof)

  • Birth certificate (if applicable)

Ensure they are clear, complete, and readable. File size and format must match portal requirements (usually under 1MB, in JPEG or PDF).

Step 12: Review and Submit the Form

Before final submission:

  • Double-check all fields

  • Review your uploaded documents

  • Make sure your name and address match across all documents

Once verified, click “Submit”.

Step 13: Pay Fees and Schedule Appointment

  • Pay the application fee online via net banking, credit/debit card, or UPI

  • Schedule an appointment at your nearest Passport Seva Kendra (PSK) or Post Office Passport Seva Kendra (POPSK)

You’ll get a PDF with appointment confirmation—print it and bring it along.
